Sync your HubSpot contacts, companies, and deals with Nimbus — two ways. HubSpot records flow into Nimbus, and the edits you make in Nimbus flow back to HubSpot automatically. You connect with your own HubSpot login, so Nimbus only ever sees the records your HubSpot account is allowed to see.
Before you start
- You need a HubSpot account with access to the records you want to sync (contacts, companies, deals).
- The connection is per user — each person on your team connects their own HubSpot. Your connection respects your HubSpot permissions.
- HubSpot connectors are available on plans where the integration is enabled. If you don't see HubSpot on the Connected Services page, your workspace doesn't have it turned on yet.
1 Open Connected Services
From the left sidebar, go to Connected Services. You'll see a grid of available connectors. Find the HubSpot card (orange icon).
2 Connect your account
- Click Connect on the HubSpot card.
- A secure HubSpot authorization window opens. Sign in to HubSpot if you aren't already.
- Review the access Nimbus is requesting (contacts, companies, deals, and owners) and click Connect app / Allow.
- The window closes and the HubSpot card flips to Connected. You'll see a "HubSpot connected successfully" confirmation.
That's it — there are no API keys to copy or fields to fill in. Nimbus handles the connection securely behind the scenes.
3 Run your first sync
Once connected, a Sync Activity tab appears on the Connected Services page. Open it to manage everything sync-related:
- Connection summary — shows your connected HubSpot account and when it last synced.
- Sync now — pulls the latest contacts, companies, and deals from HubSpot on demand. The first sync may take a minute depending on how many records you have.
- Recent sync runs — a log of past syncs (inbound and outbound) with status indicators.
Click Sync now to pull your HubSpot records into Nimbus for the first time.
4 Review incoming records (Sync Inbox)
New HubSpot records don't silently overwrite your Nimbus data. Instead they land in the Sync Inbox inside the Sync Activity tab, grouped by type:
- Companies — import directly as Nimbus customers.
- Contacts — pick which Nimbus customer to attach each contact to.
- Deals — pick which customer the deal belongs to; the deal becomes a Nimbus opportunity.
You can:
- Select records individually with checkboxes, or use Select all.
- Import the selected records in bulk, or Dismiss ones you don't want.
- Import or dismiss any single row inline.
Imported records are marked as synced from HubSpot (you'll see a small orange "HubSpot" badge on contact cards, opportunity cards, and the customer header) so you always know where they came from.
How two-way sync works
Once a record is linked between Nimbus and HubSpot, changes flow both directions automatically:
- HubSpot → Nimbus: New and updated contacts, companies, and deals come in on each sync. HubSpot tasks, meetings, and notes attached to a deal land on the matching Nimbus opportunity as action items and communications.
- Nimbus → HubSpot: Edits you make to a linked company, contact, or deal in Nimbus are written back to HubSpot. Deal-stage changes, business case results, deal-pulse insights, and meeting summaries also push back as HubSpot notes and engagements.
Nimbus is smart about avoiding loops — a change that originated in HubSpot won't bounce back to HubSpot, and vice versa. New Nimbus records you create are also pushed to HubSpot automatically (and de-duplicated against existing HubSpot records first, so you never get duplicates).
Deal stages follow your HubSpot pipeline
When an opportunity is linked to a HubSpot deal, its stage tracker uses your HubSpot pipeline's stage names instead of the default Nimbus stages. Moving the stage in Nimbus updates the deal in HubSpot, and vice versa.
Turning write-back on or off
By default, your Nimbus edits sync back to HubSpot. If you'd rather sync in one direction only (HubSpot into Nimbus, nothing back out), use the write-back toggle in the Sync Activity tab. Inbound sync keeps working either way.
Manually pushing a record to HubSpot
If you have a Nimbus company, contact, or opportunity that isn't in HubSpot yet, open it and use Sync to HubSpot. Nimbus first searches HubSpot for a match (company by domain or name, contact by email, deal by name) and links to it if found — otherwise it creates a new record. Either way it won't create a duplicate.
Disconnecting
To disconnect, go to the HubSpot card on Connected Services and click Disconnect. This stops all syncing. Your already-imported records stay in Nimbus. You can reconnect anytime — your existing links are preserved.
Troubleshooting
- "Couldn't reach the connection provider" — usually a temporary hiccup. Wait a moment and click Sync now again.
- Card shows "Reconnect needed" — your HubSpot authorization expired or a new permission is required. Click Reconnect and sign in again to restore syncing.
- A record didn't import — check the Sync Inbox; contacts and deals need a customer assigned before they import. Items you dismissed won't reappear.
- Edits aren't flowing to HubSpot — confirm write-back is enabled in the Sync Activity tab, and that the record is actually linked (look for the HubSpot badge).
